Rocketship Bay Area is hiring for the position of Office Manager (OM) for two new elementary school opening in the 2016-2017 school year. The Office Manager is the first point of contact for parents and students when they come to school, as well as a resource to the school community. A Rocketship Office Manager exhibits professionalism at all times, treats people with respect, and is firm but compassionate in how he or she addresses the day-to-day challenges of a rigorous and purposeful school. The Office Manager reports directly to the Principal and receives additional professional development and support from Rocketship’s Operations Team. The responsibilities below are consistent across all Rocketship Education school sites; for our new schools, our founding Office Managers will play a particularly large role in Student Recruitment, and in setting up new systems for a well-run Front Office.
Family Engagement
Partner with the Growth and Community Engagement team on intensive student recruitment efforts in year zero and manage ongoing backfilling and recruitment in year one and beyond
Put regular structures in place for families to connect with the school and each other (e.g. committees)
Coordinate with Principal and oversee annual home visits
Manage Parent Partnership Hours program
Schedule, plan, execute and ensure high attendance for Mandatory Registration Day, community meetings, advocacy events, and other special school events
Own the Rocketship Report, a parent facing newsletter
Connect families to services & resources beyond Rocketship

Student Information, Attendance and Truancy
Create and maintain complete and current student cumulative files
Enter student information into our student information system and keep this information up-to-date throughout the school year as enrollment or information changes
Manage the Attendance process including training and support teachers on the attendance process and its importance
Coordinate the school’s Truancy process and work with parents to solve problems and prevent student attrition

Health, Safety and Discipline
Maintain emergency medical and contact information for all students
Maintain complete and current immunization records for all students
Administer basic first aid, distribute medication, maintain injury reports
Be knowledgeable of all content in school safety binder, including emergency procedures
Supervise students sent to the office for discipline and health reasons

Integrated Special Education (ISE)
Act as intermediary to communicate written or oral information given by parents to the ISE team
Ensure that all documents delivered or messages received are immediately given to ISE
Maintain confidentiality regarding ISE students who receive special education services
Partner with ISE Specialists on a school site to arrange IEP or ISE meetings

Front Office Administration
Own look & feel of the Front Office
Perform general clerical duties including answering phones, taking and distributing messages, sorting mail, and prepare error-free general correspondence
Facilitate arrangements for school activities, logistics, teacher development, parent development and other activities
Provide support to the Principal and teachers as necessary
Use automated messaging system to send out school information as necessary
Spanish/English bilingual fluency required, with excellent written and oral communication skills
Knowledge and cultural competence of the local student and parent community
Highly developed interpersonal skills using tact, patience, and courtesy
Effectively prioritize and juggle multiple concurrent projects
Comfortable in a startup environment; shows initiative and ability to work independently with minimal direction
Ability to use a variety of software programs (Word, Excel) and quickly learn new ones
Impeccably organized with extreme attention to detail
Managerial skills preferred
